User Guide

  1. Complete company settings in Settings.
  2. Configure SMTP and send a test email.
  3. Create team members in Settings → Users.

Add a new customer in Customers. Fill in business details, contact, and CRN if available.

  1. Create a lead at New Lead and upload bills/LOA (PDF/JPG/PNG/WEBP ≤10MB).
  2. Run product search at Product Search, adjust commission/uplift.
  3. Create a quote from results and send to the customer.

Adding Meters (Electricity, Gas, Water)
  1. Open a customer from Customers
  2. Click the "Meters" tab (speedometer icon)
  3. Click "Add Meter" button
  4. Select utility type:
    • ⚡ Electricity - Enter MPAN (13 digits), profile class, Day/Night/Weekend EAC, kVA
    • 🔥 Gas - Enter MPRN (6-10 digits), annual consumption
    • 💧 Water - Enter meter serial number, annual consumption (m³)
  5. Fill in current supplier information:
    • Supplier name
    • Current rates (day/night for electricity, unit rate for gas, water/waste rates for water)
    • Standing charge
    • Annual cost
    • Contract end date
    • RPI/Volatility clauses
  6. Click "Save Meter"
💡 Tip: Get all meter details from the customer's latest utility bill. MPAN/MPRN numbers are required for supplier switching.
Managing Meters
  • Edit: Click pencil icon on any meter card
  • Delete: Click trash icon (soft delete - preserves data)
  • View Summary: See meter counts by utility type in summary cards

Creating Multi-Utility Quotes
  1. Open a customer from Customers
  2. Click the "Quotes" tab
  3. Click "Add Quote" button
  4. Select utility type (Electricity, Gas, or Water)
  5. Fill in supplier quote details:
    • Electricity: Day/Night/Weekend rates, kVA charge, standing charge
    • Gas: Unit rate, standing charge
    • Water: Water rate, wastewater rate, standing charge
  6. Enter contract terms:
    • Contract length (12/24/36/48 months)
    • Start date
    • Annual cost
    • RPI clause (check if applicable)
    • Volatility clause (check if applicable)
    • Notes (any special terms)
  7. Click "Add Quote"
Quote Display & Comparison
  • Grouped Display: Quotes automatically grouped by utility type
  • Best Value: Cheapest quote per utility type gets "Best Value" badge
  • Color-Coded: Green (Electricity), Orange (Gas), Blue (Water)
  • RPI/Volatility Badges: Shows contract clauses at a glance
Generating PDF Reports
  1. Add quotes for comparison
  2. Click "Generate PDF Report"
  3. Professional PDF downloads automatically
  4. PDF includes:
    • Introduction & executive summary
    • Current energy profile
    • Supplier comparison tables (grouped by utility)
    • Savings analysis
    • Next steps for implementation
📊 Best Practice: Get at least 3 quotes per utility type for best comparison. Include current supplier data by filling in meter information.

Using the Quick Action Modal

The unified modal combines 4 common actions into one beautiful interface:

📞 Log Call
  1. Open a customer and click "Log Call" button in Quick Actions
  2. Enter call details:
    • Duration (minutes)
    • Outcome (Interested, Not Interested, Callback, Voicemail, etc.)
    • Notes about the conversation
    • Next action (Follow-up task, Send Quote, Request LOA, Send Contract)
  3. Click "Log Call" to save
  4. Activity is automatically tracked in Activity Log tab
  5. Based on next action:
    • Follow-up: Task created automatically
    • Send Quote: Opens Quotes tab
    • Request LOA: Opens LOA wizard
    • Send Contract: Opens contract creation
✅ Create Task
  1. Click "New Task" button in Quick Actions
  2. Modal opens in "Create Task" mode
  3. Fill in task details:
    • Task type (General, Follow-up, Review, Email)
    • Title and description
    • Status (Open, Pending, In Progress, Done)
    • Priority (Low, Medium, High)
    • Due date
  4. Click "Create Task"
  5. Task appears in Tasks tab and Activity Log
📄 Request Document
  1. Click "Request Doc" button
  2. Select document type:
    • LOA (Letter of Authority)
    • Energy Bill
    • Signed Contract
    • Custom (specify name)
  3. Set urgency level
  4. Add notes about what's needed
  5. Check "Auto-send email" to open email wizard
  6. Click "Request Document"
  7. Task created and tracked in Activity Log
⏰ Set Reminder
  1. Click "Reminder" button
  2. Quick date buttons or custom date picker:
    • Today
    • Tomorrow
    • Next Week
    • Custom Date (date picker)
  3. Enter reminder title and notes
  4. Set priority

Adding Multiple Quotes at Once

  1. Open a customer from Customers
  2. Click the "Quotes" tab
  3. Click "Bulk Entry" button (green, next to "Add Quote")
  4. Spreadsheet-like table opens with 3 empty rows
  5. For each row, fill in:
    • Supplier: Select from dropdown
    • Type: ⚡ Electricity, 🔥 Gas, or 💧 Water
    • Day Rate: Price in pence/kWh
    • Night Rate: Optional night rate

Upload, organize, and manage all system documents at Document Management.

Uploading Documents
  1. Click "Upload Document" button
  2. Select file (max 50MB)
  3. Choose document type:
    • LOA - Letter of Authority (with expiry tracking)
    • Bill - Energy/utility bills
    • Contract - Signed contracts
    • Quote - Supplier quotes
    • Invoice - Commission invoices from suppliers
    • Meter Reading - Meter reading documents
    • Correspondence - Emails, letters
    • Identity - ID documents
    • Registration - Company registration
    • Other - Miscellaneous files
  4. Enter title and description
  5. Link to entities:
    • Customer - Associate with customer
    • Supplier - Associate with supplier
    • Site - Link to specific site
    • Contract - Attach to contract
  6. Add tags (comma-separated: "urgent, contract, LOA")
  7. Set expiry date (for LOAs)
  8. Mark as confidential if needed
  9. Click "Upload"
Finding Documents
  • Search: Real-time search by title, description, tags, filename
